Tips on how to develop an organized meeting that is beneficial for all participants.

Client Implementation Meeting Agenda:

Parties to be included:

  • Business Development Manager
  • Operations Manager
  • Logistics Manager
  • Credit /Accounts Receivable
  • Account Manager
  • ISR
  • Warehouse manager (if applicable)
  • Line Haul coordinator (if applicable)
  • Logistics Analyst (if applicable)

When to schedule meeting:

  • Minimum of 1 week prior to start date

Documentation required for meeting:

  • SOP
  • Client Profile
  • Power of Attorney(s)
  • Bond application and/or GST direct letter
  • Any other pertinent docs (eg. sample invoices, NAFTA, rates, database, etc)

What to cover in meeting:

  • SOP (if applicable)
  • Details for setting the account up in system (section 1 of client profile)
  • Credit & Finance details (section 2 of client profile)
  • Customs requirements details (sections 3 & 4 of client profile)
  • Logistics requirements details (section 6 of client profile)
  • Questions

Requirements for Requesting a Team Assignment:

When requesting a team assignment for a new account, these are the details that the operations manager needs to know in order to make that decision:

  • Type of service(s) Frontier is providing
  • Frequency of service provided (eg, weekly? Daily?)
  • Anticipated volume
  • Name of company
  • Location of company (eg. state or province & country)
  • Type of commodity
  • Any anticipated future Frontier services / cross-selling opportunities

Example:

I have two new U.S. companies that we will be doing freight and customs clearance for.  I want to complete a client profile, SOP and implementation meeting for both on Thursday of this week, but I was hoping you can let me know which team you would assign for each first.  Here is a little about each:

1) Zing Anything – B2C and B2B 

  • Product:  water bottles (4 types that infuse with whatever you put in it)
  • Website: www.zinganything.com
  • Location:  Their warehouse is in Akron, OH (this is where they will ship from). 
  • Details: They will start small and send us a consolidated shipment each week to Itasca and we will ship from here. Once the weekly weight is over 200 lbs. we will pick up from Akron, bring to Itasca and ship from here once per week.
  • They are a new NRI (non-resident importer) and I have requested a BN #
  • Frequency & shipment type: Estimated 10-20 orders per week around 100 lbs. to start

2) Outdoor Interiors, LLC – B2C and B2B

  • Product:  outdoor accessories from small garden items to outdoor furniture
  • Website: www.outdoorint.com
  • Location: Their warehouse is in Barrington, IL (close to Itasca)
  • Details: We will start small and pick up once per week with an occasional LTL pick up outside of that
  • They are a new NRI and I have requested BN#
  • Frequency & shipment type: Estimated: 4-10 orders per week in consolidated shipment = 400 to 1000 lbs. per week to start
